Unity Place MK Privacy Policy

This is our Privacy Notice which explains how we obtain, use and keep your personal data safe in relation to the Unity Place Mobile App.

Your personal data is data which by itself, or with other data available to us, can be used to identify you.

We're committed to keeping your personal data safe in accordance with applicable data protection laws.

The types of personal data we collect and use

The types of personal data we capture and use will depend on what you are doing on the App. We’ll use your personal data for some or all of the reasons set out in this Privacy Notice. Examples of the personal data we use in relation to the App include:

  • Full name and personal details including contact information (e.g. email address);
  • Information you provide when you register to use the App, download or register the App, subscribe to any of our services or by corresponding with us (for example, by email or chat).
  • Records of services you have obtained or applied for and how you use them;
  • Technical information, including the type of mobile device you use, a unique device identifier (e.g. your device's IMEI number, the MAC address of the device's wireless network interface, or the mobile phone number used by your device), mobile network information, your mobile operating system, the type of mobile browser you use, and time zone setting; and
  • Details of your use of the App or your visits to Unity Place including, but not limited to traffic data, weblogs and other communication data and the resources that you access;

We do not collect any special categories of personal data about you (this includes details about your race or ethnicity, religious or philosophical beliefs, sex life, sexual orientation, political opinions, trade union membership, information about your health, and genetic and biometric data). Nor do we collect any information about criminal convictions and offences.

Users' Image Information (Photos)

Data collected, and for what purpose:

  • Photos (Optional) for App functionality

Our website and application may collect user images for various purposes, such as profile pictures or content submission. Please be aware that any images submitted to our platform may be stored on our servers for future use. However, we do not share these images with third parties; they are only used for internal purposes, such as uploading profile images, or content for the app.

By submitting an image to our platform, you acknowledge and consent to our collection and storage of your image.

Providing your personal data

We’ll tell you if providing some personal data is optional, including if we need to ask for your consent to process it. In all other cases you must provide your personal data so we can process your application or respond to query or service request. We’ll collect this personal data directly from you when you use this App. If you provide personal data about another individual, you must have their authority to provide their personal data to us and you must share this Privacy Policy with them beforehand together with details of what you’ve agreed on their behalf. We do not knowingly collect personal data about other individuals.

This App is not intended for individuals under 18. We do not knowingly collect personal data relating to children.

Monitoring of communications

Subject to applicable laws, we’ll monitor and record your calls, emails, text messages and other communications in relation to your dealings when using our services. We’ll do this for regulatory compliance, self-regulatory practices, crime prevention and detection, to protect the security of our communications systems and procedures, to check for obscene or profane content, for quality control and staff training, and when we need to see a record of what has been said. We may also monitor activities on your account where necessary for these reasons, and when this is justified by our legitimate interests or our legal obligations.

Using your personal data: the legal basis and purposes

We’ll process your personal data:

1. As necessary to perform our contract with you for the relevant account or service, including:

  • a) To install the App and register you as a new App user;
  • b) To identify that you are authorised to access the building and services;
  • c) To manage and perform the contract; and
  • d) To update our records.

2. As necessary for our own legitimate interests or those of other persons and organisations, including:

  • a) For good governance, accounting, and managing and auditing our business operations;
  • b) To monitor performance of the service we provide to you;
  • c) To administer and protect our business and this App including troubleshooting, data analysis and system testing;
  • d) To protect you and other people from fraud or misuse of the services;
  • e) To monitor emails, calls, other communications, and activities on your account or service;
  • f) For market research, analysis and developing statistics;
  • g) To assign, transfer, sub-participate or otherwise dispose of our rights and/or obligations in relation to your account or service where we are permitted to do so pursuant to the terms of the relevant contract or as a matter of law;
  • h) To contact you about your account or service;
  • i) To manage our relationship with you including notifying you of changes to the App or any services;
  • j) For establishment and defence of legal rights; and
  • k) For the prevention, detection and investigation of financial crime, including fraud, money laundering, and terrorism financing.

3. As necessary to comply with a legal obligation, including:

  • a) When you exercise your rights under data protection law and make requests;
  • b) For compliance with legal and regulatory requirements and related disclosures;
  • c) For establishment and defence of legal rights;
  • d) For activities relating to the prevention, detection and investigation of crime;
  • e) To verify your identity; and
  • f) To monitor emails, calls, other communications, and activities on your account or service.

4. Based on your consent, including:

When you request us to disclose your personal data to other people or organisations, such as a person or company handling a claim on your behalf, or otherwise agree to disclosures;

Sharing of your personal data

Subject to applicable data protection law, we may share your personal data with:

  • Members of the Santander group of companies and associated companies in which we have shareholdings and directors, employees, officers, agents or professional advisors of such members and associated companies;
  • Sub-contractors and other persons who help us or our affiliates provide accounts, products and services;
  • Companies and other persons providing services to us;
  • Our legal and other professional advisors, including our auditors;
  • Courts, to comply with legal requirements, and for the administration of justice;
  • Law enforcement bodies;
  • Government bodies and agencies in the UK and overseas (e.g. the Information Commissioner’s Office);
  • Other persons where necessary in an emergency or to otherwise protect your or other persons’ vital interests;
  • Other persons where necessary to protect the security or integrity of our business operations;
  • Other persons when we restructure or sell any of our business or assets or have a merger or re-organisation (including persons and prospective persons to whom we may assign, transfer, sub-participate or otherwise dispose of our rights and/or obligations in relation to your account or service);
  • Market research organisations who help to improve our products or services;
  • Anyone else where we have your consent, or where we have another lawful basis for doing so.

International transfers

In some instances your personal data may be transferred outside the UK and the European Economic Area. While some countries have adequate protections for personal data under applicable laws, in other countries additional steps will be necessary to ensure appropriate safeguards are in place to protect your personal data. These include imposing contractual obligations to ensure these safeguards are put in place or requiring the recipient to subscribe to or be certified with an ‘international framework’ for the protection of personal data.

Our App may, from time to time, contain links to and from the apps and websites of our partner networks, advertisers and affiliates. Please note that these apps and websites and any services that may be accessible through them have their own privacy policies and that we do not accept any responsibility or liability for these policies or for any personal data that may be collected through these apps, websites or services. Please check these policies before you submit any personal data to these apps, websites or use these services.

Data anonymisation and aggregation

Your personal data may be converted into statistical or aggregated data which can’t be used to identify you or any other individuals. We may share and sell such anonymised data including in an aggregated format, within and outside of the Santander group of companies, for statistical analysis, research and other business purposes. For example, sharing information about how buildings operate and they are used. The law says this is not considered to be personal information after it has been anonymised and/or aggregated.

Automated Processing

Automated decision making involves processing personal data without human intervention, to evaluate certain personal aspects about you (known as profiling). No automated processing will be performed via the App.

Cookies

Cookies are small text files placed on your computer, smartphone or other device and are commonly used on the internet. We use cookies and similar technologies to:

  • collect information that will help us understand visitors' browsing habits on the App;
  • compile statistical reports on App activity, e.g. number of visitors and the pages they visit;
  • temporarily store any information which you may enter in tools on the App; and
  • in some cases, remember information about you when you visit our App. We may need to do this to provide some of our services e.g. identify you when logging on to the App.

We use cookies to enable us to perform our contract with you (e.g to install the App and register you as a new App user) and for our legitimate interests (e.g. to help us improve our service). We’ll also ask your consent for non-essential cookies. Criteria used to determine retention periods

The following criteria are used to determine data retention periods for your personal data:

  • Retention in case of queries. We’ll retain personal data as long as necessary to deal with your queries;
  • Retention in case of claims. We’ll retain personal data for as long as legal claims can be brought and defended; and
  • Retention in accordance with legal and regulatory requirements. We’ll retain personal data after your account or service has been closed or has otherwise come to an end based on our legal and regulatory requirements.

Rights under applicable data protection law

Your rights are as follows (noting that these rights don’t apply in all circumstances):

  • The right to be informed about our processing of your personal data;
  • The right to have your personal data corrected if it’s inaccurate and to have incomplete personal data completed;
  • The right to object to processing of your personal data;
  • The right to restrict processing of your personal data;
  • The right to have your personal data erased (the “right to be forgotten”);
  • The right to request access to personal data and information about how we process it;
  • The right to move, copy or transfer your personal data (“data portability”); and
  • Rights in relation to automated decision making including profiling.

You have the right to complain to the Information Commissioner’s Office. It has enforcement powers and can investigate compliance with data protection law: ico.org.uk
